What software actually costs

Looking up what one tool costs usually means opening its pricing page, decoding three tiers and an annual-billing discount, and still not knowing whether it is dear. This is every tool and service we track, in one list, with the price it actually starts at and what that price is per. The numbers come straight from our category comparisons, so a figure here is the same figure there.

Rebuilt from those comparisons whenever they change. Last updated 13 September 2026 .

usefulHQ Study · 2026

In the typical software category the dearest tool costs 12× the cheapest, and in VPS hosting it is 546×

We hold the entry price of 641 tools and services across 23 categories, each one taken from the comparison table that already prices it. Comparing only inside a category, so the unit never changes, the widest gap is VPS hosting: RackNerd starts at $1.83/mo and Pagely at $999/mo. The median category has a 12× gap, so on a typical shortlist the dearest option costs ten times the cheapest before you have compared a single feature. 69 of the 641 tools have a genuinely free tier.

Method: every price is the entry paid price on that category's own comparison page, so this index and that page cannot disagree. Ratios are taken only within a category, never across one, because the unit changes: some prices are monthly, some per user, per gigabyte, per 1,000 emails or one-off. A category is included only if all its rows share one unit and it has at least four paid entries. Free tiers are excluded from the spread, since a $0 row makes every ratio infinite. Web hosting and VPN are shown at renewal price, because the intro price is the one that misleads. Cite this: "usefulHQ Software Pricing Study 2026", usefulhq.com/software-pricing/. Figures update whenever a category comparison changes.

641 tools and services across 23 categories, with what each actually costs to start on. 69 have a genuinely free tier. Every price is the same figure used on our full comparison for that category, so the two cannot disagree. Watch the unit: some are monthly, some per user, per gigabyte or one-off, and it says which on every line. Web hosting is shown at its RENEWAL price, because the intro price is the one that misleads.

The cheapest option in every category

The cheapest genuinely paid option in each category, with how many have a free tier worth using. Read the unit on each row: these are not comparable with each other, some are monthly, some yearly, some per gigabyte. Ordered by category, not by price, for that reason.

The tools that are genuinely free

69 tools across 12 categories have a real free tier, not a trial that expires. Free almost always means capped on something (users, contacts, projects, bandwidth), and the category comparison spells out which. Products that only quote on request are deliberately excluded here: an enterprise price you have to ask for is not the same as free.

How this is worked out. Every figure here is lifted from one of our own category comparisons, so a price on this page is the same price on that page. Nothing is recalculated in between.

The catch this page exists to handle is that the same position in each source means a different thing: a monthly fee on most, a percentage on payment processors, a free allowance on the email API. Each source declares its own unit, which is why every row says what its number is per rather than assuming dollars a month.

How to read this

Read the unit, not just the number. A $1 price means very different things per month, per user, per gigabyte and one-off, so every row says which. Two tools with the same headline figure can differ by an order of magnitude once you use them properly.

"Starts at" is the entry paid plan. It is where the bill begins, not where it lands. Several categories here charge a percentage on top of the monthly fee, and for those the category comparison works out the real total at your size.

Free means genuinely free, not a trial. Where a tool has a free tier we show Free, but a free tier almost always carries caps on users, volume or features, and the category page spells those out.

Common questions

Is this the price I will actually pay?

It is what the entry paid plan costs, which is where the bill starts rather than where it lands. Several categories here also take a percentage of what you sell on top, and the category comparison for each works out the real total at your size.

Why do some rows say per user, per gigabyte or one-off?

Because that is what the vendor charges for. A $10 monthly tool and a $10 per-user tool are wildly different once you have a team, so every row states its own unit rather than pretending they are all comparable.

Why is web hosting shown at the renewal price?

Because the introductory price is the misleading one. Hosts advertise a low first term and renew several times higher, so the renewal figure is what you will actually be paying from the second year onwards. Antivirus and VPNs are shown the same way, for the same reason.

What does "price on request" mean?

The vendor only quotes privately, which is normal for enterprise products. It is not the same as free, so those rows are marked rather than shown as $0, which would put an enterprise LMS at the top of a cheapest list.
